It is important that Increment Letter should be in right format because it is most sensitive document for an employee. They’ve worked hard. They’re waiting. And how you communicate the increment — not just the number, but the letter itself — tells them a lot about how much the company values them.

I’ve seen companies announce a 20% hike in a two-line email with no context. And I’ve seen a 6% hike land well because the letter was warm, specific, and respectful. The increment letter matters more than most HR managers realize. Here’s everything you need — what goes into it, what to avoid, and free templates you can use today.

Why Is the Increment Letter Matters?

Most companies treat the increment letter as a paperwork task. Fill in the numbers, sign it, send it. Done. But here’s what that letter actually does for the employee — it’s proof. Proof that the company acknowledged their work. Proof of the new salary for bank loans, visa applications, rental agreements. Proof of the effective date if there’s ever a dispute.

And from the company’s side — a properly issued increment letter protects you too. you’re essentially working from memory and email threads — and that’s not a comfortable place to be when someone raises a question six months later.

What Every Increment Letter Must Include

Keep it simple but complete. These are the non-negotiables:

Let me walk you through what actually needs to be in there.

Start with the basics — employee’s full name, designation, and department. Then mention the previous salary and the revised salary — both monthly and annual. Don’t make the employee do the math. Write it out clearly.

Mention the increment percentage or the exact increase amount. “Revised from ₹40,000 to ₹46,000 per month — an increase of 15%” is much better than just writing the new number. It tells the employee how they’re being valued.

The effective date is non-negotiable. “With effect from April 1, 2026” — not “from this month” or “from the next cycle.” A specific date matters for payroll processing, for the employee’s records, and for any future reference.

Include the reason — even briefly. “In recognition of your performance during the annual appraisal” takes one line and makes the increment feel earned. Without it, the letter just feels like a salary update email.

If the salary structure is changing — and post the 50% basic rule under Labour Codes 2025, many structures are being revised — attach the new breakup. Employees will ask anyway. Save yourself the follow-up.

Finally, always include an acknowledgment line. Ask the employee to sign and return a copy. That signature is your paper trail if there’s ever a dispute about when the revised salary was communicated.
